These Terms cover two MapleLedger product areas:
- MapleLedger App, a local-first bookkeeping, expense submission, and record-keeping app
- Batch OCR, a separate cloud-assisted OCR workspace for bulk document review
MapleLedger App Terms
MapleLedger is a local-first financial tracking tool designed to help users record and organize income, expenses, mileage, projects, reports, bookkeeping records, Expense Submission reimbursement records and reports, and related tax or reimbursement information on their own device.
The App provides record-keeping and review features for convenience only and is not a tax filing, legal, or accounting advisory service.
App is not tax advice or tax filing
IMPORTANT:
The App is NOT a tax preparation, tax filing, or tax advisory service.
We do not provide professional accounting or tax advice.
We do not guarantee that:
- tax calculations are accurate
- all deductible or recoverable amounts are correctly identified
- the App reflects current tax laws or regulations in any jurisdiction
- any recoverable tax calculations (including ITC, ITR, or similar mechanisms) are correct
App tax review responsibility
Tax laws and regulations may change at any time, and the App may not reflect the most current rules.
The App is assistive, not authoritative. You are responsible for reviewing every record, scan result, export, and summary before relying on it.
MapleLedger may provide default percentages, allocation fields, deductible percentages, tax templates, and calculation tools to help with bookkeeping and reporting. The correct tax treatment of any income, expense, tax amount, deduction, allocation, or report depends on your specific circumstances, applicable laws, tax authority guidance, and professional advice where appropriate. You are responsible for reviewing and determining the treatment that applies to your situation.
Users should verify important information with a qualified accountant or the relevant tax authority for their jurisdiction.
App user responsibilities
You agree that:
- You are solely responsible for how you use the App
- You should not rely solely on the App for tax reporting, compliance, or financial decision-making
- You will verify all amounts before filing taxes or making financial decisions
- You are responsible for ensuring that all data entered into the App is accurate and complete
- You are responsible for maintaining the confidentiality and security of your account credentials
- You understand that tax rules vary by jurisdiction and may change over time
- Because MapleLedger is local-first, you are responsible for keeping your own backups and for checking the copies you create, export, share, or restore
- We may apply reasonable usage limits, feature limits, or anti-abuse rules to protect the service and keep it available for normal use
App receipt scanning and usage limits
Receipt scanning and AI-assisted document processing features are designed for normal business use and may be subject to quotas, device limits, and anti-abuse controls.
Excessive, automated, fraudulent, or non-standard usage may result in temporary or permanent restrictions.
Receipt scanning may involve third-party or on-device processing to extract information from images you choose to scan.
Scan results may be incomplete or incorrect, and you should review them before saving.
App Premium, rewards, and referrals
Native Premium purchases use Apple App Store or Google Play where available. Web Premium checkout uses RevenueCat-hosted checkout with Paddle as merchant of record. Sign-in may be required to purchase or restore Premium.
- Premium may include extended scan usage and other features, but it does not mean unlimited scanning unless we explicitly say so in the App.
- Reward points are promotional only, have no cash value, do not expire, and do not grant Premium.
- Reward points are account-bound and may be used only for eligible scan fallbacks when that feature is enabled and a server-confirmed point is available.
- Reward points are separate from Premium and from scan rewarded ads.
- Referral profiles, claims, and reward events are handled server-side, but they do not include your financial data.
- A referred user may receive a signup reward after verification.
- The inviter may receive signup rewards only for the first 20 successful signup referrals.
- Referral codes can only be applied once per account.
- Recent referral activity may show only a limited display window, such as the last 30 days.
- Referral rewards are promotional and may be withheld, reversed, or canceled if we reasonably believe there is abuse, fraud, self-referral, automation, or manipulation.
- We may adjust scan, reward, or referral rules over time, but we will aim to keep the program clear and fair.
App data and backups
Users are responsible for maintaining their own backups.
The MapleLedger app does not store your bookkeeping records, expense submission records, receipts, attachments, exports, or backups on MapleLedger servers as part of normal local-first app use. Backups and exports are user-managed, and you are responsible for the copies you choose to create, share, or restore.
We do not guarantee that data will not be lost, corrupted, or incompatible across different app modes or versions.
App limitation of liability
To the maximum extent permitted by law:
We are not liable for any direct, indirect, incidental, or consequential damages, including but not limited to:
- incorrect tax calculations or estimates
- incorrect categorization of income or expenses
- missed deductions or recoverable tax amounts
- financial loss resulting from reliance on the App
- errors or omissions in recorded data
Batch OCR Terms
MapleLedger Batch OCR is an accounting document extraction, review, and export workspace for receipts, invoices, utility bills, insurance invoices, rent or lease invoices, and other expense-related accounting documents.
Batch OCR is designed to help prepare editable review rows before export. It does not automatically post bookkeeping records, reconcile transactions, prepare tax filings, provide tax, legal, or financial advice, or replace professional review.
Batch OCR is a separate cloud-assisted OCR workspace and is not part of the MapleLedger App local-first bookkeeping storage model.
Batch OCR supported and unsupported documents
Batch OCR is not intended for banking transaction ingestion, bank statements, credit card statements, payroll exports, tax returns, long transaction ledgers, large financial reports, or general document AI workflows.
Unsupported or unsuitable documents may produce unreliable results and may still consume Batch Scan credits if processing has already started.
Batch OCR review responsibility
Batch OCR results are assistive and may be incomplete, incorrect, duplicated, miscategorized, or missing important context.
You are responsible for reviewing, correcting, and approving all extracted rows, amounts, dates, taxes, vendors, categories, notes, and exports before using them for accounting, bookkeeping, tax, reporting, or import into another system.
Batch OCR cloud processing boundaries
Batch OCR may use temporary cloud processing, third-party OCR or AI providers, infrastructure services, authentication, payment, or service providers to process the files or OCR inputs you submit and operate the workspace.
Batch OCR is not a long-term cloud archive for your financial records, receipts, or bookkeeping history.
Batch Scan Packs
Batch Scan Packs and Batch Scan credits are separate from MapleLedger Premium, app receipt scan quotas, rewarded scans, reward points, and device-based Premium scan access.
Each billable OCR input may use Batch Scan credits according to the Batch OCR workflow shown in the product. PDFs, multi-page files, or pages containing multiple receipt regions may require more than one OCR input.
Batch Scan Packs do not unlock Premium app features, and Premium subscriptions do not include Batch Scan Pack credits.
Batch Scan Pack refund policy
Tester Packs are intended for early evaluation and limited testing. Tester Pack purchases may be eligible for refund within 7 days if usage remains low.
Tester Packs remain limited to one purchase per account, including refunded purchases.
Because Batch OCR processing consumes real AI and infrastructure resources, refunds are generally not provided after substantial usage has occurred.
Unused or minimally used purchases may be reviewed on a case-by-case basis within 7 days of purchase, including accidental or duplicate purchases.
MapleLedger may refuse refunds in cases involving abuse, excessive usage, repeated refund activity, chargeback misuse, unsupported document workflows, or other misuse of the Batch OCR system.
Refunded, reversed, disputed, or revoked Batch Scan Pack purchases may result in a negative Batch Scan credit balance if credits were already consumed before the refund, reversal, dispute, or chargeback was processed.
Future Batch Scan Pack purchases may first be applied toward restoring the balance before additional usable credits become available.
Unresolved negative Batch Scan credit balances or active Batch payment abuse markers may require manual review before additional Batch Scan Pack checkout is available.
Batch OCR abuse prevention
MapleLedger may restrict Batch OCR usage or require manual review in cases involving abuse, excessive usage, automated usage, unsupported document workflows, payment abuse, refund abuse, disputes, chargebacks, or other misuse of the Batch OCR system.
Batch payment abuse markers are used only for limited abuse prevention and do not include financial records, receipt contents, backups, or bookkeeping data.
Liability cap
If, despite the above, we are found liable for any claim:
Our total liability shall not exceed the total amount you paid (if any) to use MapleLedger in the past 12 months.
If MapleLedger is used for free, our liability shall be zero.
No warranties
MapleLedger is provided "as is" and "as available" without warranties of any kind, including:
We do not warrant that MapleLedger will be error-free or uninterrupted.
- accuracy
- completeness
- reliability
- availability
- fitness for a particular purpose
Third-party dependencies
MapleLedger relies on third-party systems, including mobile operating systems, payment providers, authentication services, reward/referral services, OCR or AI providers, infrastructure providers, and internet connectivity.
We are not responsible for failures caused by:
- iOS / Android system limitations
- data loss due to device issues
- network or connectivity problems
- third-party service outages
Termination
We reserve the right to suspend or terminate access to MapleLedger at our discretion, including for abuse, fraud, self-referral, or attempts to manipulate rewards, referrals, scan limits, Batch Scan Packs, refunds, disputes, or service availability.
Governing law and jurisdiction
These Terms are governed by the laws of the Province of British Columbia and the applicable laws of Canada.
Any disputes arising from or related to the use of MapleLedger shall be resolved exclusively in the courts of British Columbia, Canada.
No government affiliation
MapleLedger is not affiliated with the Canada Revenue Agency (CRA), Internal Revenue Service (IRS), or any government authority.
